1. Who we are

Sendpilot is operated by Sendpilot Ltd, a company registered in England and Wales.

Sendpilot provides tools to help parents and carers better understand and improve Education, Health and Care Plans (EHCPs).


2. Who can use Sendpilot

You may use Sendpilot if:

  • you are 18 years or older; and
  • you have parental responsibility or other lawful authority in relation to the child whose information you provide.

Where information relates to a young person aged 16 or 17, you confirm that the young person has explicitly agreed to their information being uploaded and processed.

Sendpilot is not intended for use by children, and children must not create accounts.


3. Your account

You must:

  • provide accurate and up-to-date information;
  • keep your login details secure;
  • take responsibility for all activity under your account.

4. Consent and child-related data

Before uploading documents, you must:

  • confirm that you have lawful authority to share the information;
  • accept these Terms of Service and the Privacy Policy;
  • provide explicit consent for the processing of child-related and special category data.

All child-related data processed by Sendpilot exists only within the documents you upload.

You may withdraw consent at any time by deleting documents or closing your account.


5. What Sendpilot does (and does not do)

Sendpilot provides tools that:

  • allow you to upload and organise EHCP-related documents;
  • perform automated analysis of documents at your request;
  • generate structured outputs to support clarity and understanding.

Sendpilot:

  • does not provide legal, medical, or educational advice;
  • does not replace professional judgement;
  • does not make decisions about a child's education, health, or care.

Outputs generated by Sendpilot:

  • are informational only;
  • are designed to support understanding;
  • must not be relied upon as the sole basis for any decision.

The service operates through automated processing and does not involve individual professional review.

You remain fully responsible for how you interpret and use any outputs.


6. Uploaded content

You retain ownership of all documents you upload.

By uploading content, you grant Sendpilot permission to:

  • securely store the content;
  • analyse it at your request;
  • present findings back to you.

You confirm that:

  • you have the right to upload the content;
  • doing so does not breach any third-party rights.

7. Acceptable use

You agree not to:

  • use Sendpilot for any unlawful purpose;
  • upload content you do not have the right to share;
  • attempt to access or interfere with other users' data;
  • misuse the service in a way that could harm others or the platform.

We may suspend or terminate access if these terms are breached.


8. Service status, availability and changes

Sendpilot is a live service that is continuously improved and updated.

We aim to provide a reliable and consistent service, but:

  • availability is not guaranteed at all times;
  • features may change, improve, or be removed;
  • maintenance or updates may temporarily affect access.

We will aim to minimise disruption and communicate significant changes where possible.


9. Limitation of liability

Sendpilot is provided on an "as is" basis.

To the fullest extent permitted by law:

  • we do not guarantee that the service will be error-free or uninterrupted;
  • we are not responsible for decisions made based on outputs generated by the service;
  • our total liability is limited to the amount you have paid for the service in the preceding 12 months;
  • we are not liable for any indirect, consequential, or loss of opportunity arising from use of the service.

Nothing in these terms limits liability where it cannot legally be limited.


10. Ending your use of Sendpilot

You may stop using Sendpilot at any time by deleting your account.

We may suspend or terminate your access if:

  • these terms are breached; or
  • required by law.

11. Payments

Some features of Sendpilot require payment. Your first EHCP review is free. Full access is available on a monthly subscription.

Where payment applies:

  • pricing will be clearly presented before purchase;
  • access will be granted in line with the plan selected;
  • payments are processed securely by Polar (polar.sh). Polar's Data Processing Addendum is incorporated into their Master Terms of Service — no separate signature is required.

Unless otherwise stated, payments are non-refundable except where required by law.


12. Privacy

Your use of Sendpilot is governed by our Privacy Policy, which explains how personal and child-related data is handled.


13. Changes to these terms

We may update these Terms of Service as Sendpilot evolves.

If changes are significant, we will make this clear and may ask you to accept updated terms before continuing to use the service.


14. Governing law

These Terms are governed by the laws of England and Wales.
