These Terms of Service apply to Sendpilot's preview / early access service. Sendpilot is still under development, and features may change or evolve.
By using Sendpilot during preview, you acknowledge that the service is provided on a limited basis and that feedback and iteration are part of this stage.
1. Who we are
Sendpilot is operated by Sendpilot Ltd, a company registered in England and Wales.

Sendpilot provides tools to help parents and carers better understand and improve Education, Health and Care Plans (EHCPs).
2. Who can use Sendpilot
You may use Sendpilot if:
- you are 18 years or older; and
- you have parental responsibility or other lawful authority in relation to the child whose information you provide.
Where information relates to a young person aged 16 or 17, you confirm that the young person has explicitly agreed to their EHCP and related information being uploaded to and processed using Sendpilot. You remain responsible for ensuring that such agreement has been obtained.
Sendpilot is not intended for use by children, and children must not create accounts themselves.
3. Your account
To use Sendpilot, you must create an account using accurate and up‑to‑date information.
You are responsible for:
- keeping your login details secure;
- all activity that takes place under your account; and
- ensuring that information you provide is accurate to the best of your knowledge.
4. Consent and child‑related data
Before uploading documents containing information about a child, you must:
- confirm that you have parental responsibility or other lawful authority;
- accept these Terms of Service;
- accept the Sendpilot Privacy Policy; and
- provide explicit consent for the processing of child‑related and special category data contained within those documents.
Sendpilot does not create independent child profiles or standalone child records. All child‑related data processed by Sendpilot exists only within the documents you choose to upload.
You may withdraw your consent at any time by deleting uploaded documents or closing your account, in line with the Privacy Policy.
5. What Sendpilot does (and does not do)
Sendpilot provides tools that:
- help you upload and organise EHCPs and related documents;
- analyse documents at your request; and
- highlight potential gaps, inconsistencies, or areas for improvement.
Sendpilot does not:
- provide medical, legal, or educational advice;
- replace professional judgement; or
- make decisions about a child's education, health, or care.
You remain responsible for how you interpret and use any outputs generated by the service.
6. Uploaded content
You retain ownership of all documents and information you upload to Sendpilot.
By uploading content, you grant Sendpilot permission to:
- store the content securely;
- analyse it at your request; and
- display findings back to you.
You confirm that you have the right to upload the content and that doing so does not breach anyone else's rights.
7. Acceptable use
You agree not to:
- use Sendpilot for any unlawful purpose;
- upload content you do not have the right to share;
- attempt to access or interfere with other users' data; or
- misuse the service in a way that could harm others or the platform.
We may suspend or terminate access if these terms are breached.
8. Availability and changes
Because Sendpilot is in preview:
- availability is not guaranteed;
- features may change, be added, or removed; and
- the service may be paused or withdrawn.
We will aim to communicate significant changes clearly.
9. Limitation of liability
Sendpilot is provided on an "as is" basis during preview.
To the extent permitted by law:
- we do not guarantee that the service will be error‑free or uninterrupted; and
- we are not liable for decisions made based on information generated by the service.
Nothing in these terms limits liability where it cannot legally be limited.
10. Ending your use of Sendpilot
You may stop using Sendpilot at any time by deleting your account or contacting us.
We may suspend or terminate your access if:
- these terms are breached; or
- required by law.
11. Privacy
Your use of Sendpilot is also governed by our Privacy Policy, which explains how we handle personal data and child‑related information. You should read the Privacy Policy alongside these terms.
12. Changes to these terms
We may update these Terms of Service as Sendpilot evolves.
If changes are significant, we will make this clear and may ask you to review and accept updated terms before continuing to use the service.
13. Governing law
These Terms of Service are governed by the laws of England and Wales.
